How Not To Ruin Your Business Presentation

A business presentation is a necessary tool for most organizations’ communication with their partners and customers. It allows you to convey important information about the company or product visually and encourage the audience to act. Presentations are used by us more often than you think. Unfortunately, nine out of ten presentations are awful. If you want to provide a qualitative presentation of information, if you want to be taken seriously, then your presentation should be created at a proper level, as, for instance, in professional powerpoint examples.

A qualitatively designed idea is a huge advantage over a simple video or a chaotic, inconsistent and unprofessional presentation. Due to the presentation, you interact with your audience, customers, subscribers, your team, and even the viewers on YouTube – all through the visual performance of information. However, no matter how hard you try – if there is no understanding of what needs to be done, the final outcome is received and perceived not as we would like. Creating a good presentation is a whole art. Low-quality presentations can cause failure, a person may lose interest in you and your explanation only because the presentation is done poorly.

The essence of the presentation is not just informing through text. It should be similar to infographics when you have a plan and there is content, shown in the compressed form of pictures and keywords that we single out from whole blocks. In this way, you can play, evoke emotions, you can direct the thought of the audience to where it is needed, backing it up with your own words. In addition, the creation of a good and understandable presentation requires certain knowledge and skills, at least the most basic. Therefore, today we will discuss the tips that will help not to ruin the presentation.

Let’s draw an analogy between design and spices. Spices can both make the dish incredibly tasty or vice versa – destroy everything. After all, if you oversalt the dish, it will be impossible to eat. It’s the same with presentations. Nowadays, minimalism is in trend. Everything is clean, understandable, but not less beautiful.

  • Planning

It is the first rule for creating a successful business presentation, which, unfortunately, is often forgotten. You should determine the target audience, time, place and purpose (the main message that the presentation should convey to the audience) of its demonstration. A small plan will help you in this. Each slide there should be a message that will bring the audience closer to the main conclusion after the end of the viewing.

  • Presentation structure: one slide is one thought

Do not try to fit all the information you have into one slide. Best of all, if one slide contains one informational message that will be laconic, capacious, systemic and “illustrated” on this page. Since the presentation structure consists of a set of messages, each slide is an information unit. It would be better not to have too many. The size of one information block should not be more than a half of the entire slide – there must always be free space on it. It is recommended to place information blocks horizontally; if they are connected by some cause-effect relationships, you can use circular, vertical or other schemes, illustrations.

  • Reduce the amount of text in your slides

The texts should be readable. Whatever beautiful drawings, graphics, and photos are in the presentation, this should not affect the readability of the text. The main rule is that either the text or words should be read, or you need to delete all the unnecessary elements. Therefore, remember: place on slides only information that you can not do without. Schemes, graphics, photos, and drawings are designed to supplement the text information or convey it in a visual form. However, it is desirable to avoid drawing or images that do not carry semantic meaning in the presentation, if they are not part of the style design.

  • The lower part of the slide is not the place for an important information

Why waste a good free space on the slide? Do not post important information at the bottom of the slide, leave it at the top.

  • Remove unnecessary bulleted lists

They have become so popular that you can see them in every second presentation. However, sometimes it is better to do without them. They add unnecessary “gravity” to slides. Don’t you agree that often it is better to play with free area and spaces? Do not forget that a list consisting of one position is not a list, so making a single “bullet” in such a situation is inappropriate.

  • Select one font

If you are not a fonts master, then do not mix them. All of this can lead to the fact that your presentation will look untidy. Just refrain from using more than one font. Choose a certain font and play with it in the text by using shadows, sizes and, sometimes, inclines. If you’ve never touched on the subject of a fonts combination before, then a good advice is to use only one font group when creating a presentation. НFor example, use Arial Black for the title, and Arial for the text, or here is another one variant from third-party fonts – the header in Raleway Bold, and the main text in Raleway Regular. Do not overdo with colors if you don’t know correctly how they mix and match. In most cases, the use of different colors is not necessary at all, since such a diversity complicates the perception of information.

  • Design is 50% of the presentation success

The use of not matching colors combination is especially bad when not only the visual perception of the slide suffers but the readability of the text itself becomes more difficult or completely lost. Often this happens when using different shades of the same color or similar ones, for example, shades of blue and green. Do not use more than five different colors when creating your presentation. Moreover – use only three basic colors, as the other two are usually shades of the primary colors. The color solution of diagrams and graphics should not contrast sharply with the overall style of the slide design. A unified style of presentation is important so that there is no disunity, and your entire presentation was a whole story and a holistic picture.

  • Photos and pictures should be of good quality (in high resolution)

If there are no quality pictures, then it’s better not to use others. If possible, show images and illustrations in full-screen mode. Try not to add a lot of text: full-screen images will help you to dilute the flow of text slides and create a bit of variety, not allowing your viewers to fall asleep. It looks great and does not require some designer tricks. It is also very important that the images you add to the slide are not too stretched or unsuccessfully trimmed. This can cause a silent indignation or spoil the general impression right up to the total refusal to work.

  • Use vector graphics

It becomes very popular in video, infographic, and presentation. Vectors are editable, you can change the color to match your needs. Different angles and perspectives: more and more often we see non-standard photos. They are used to surprise the audience and show everything at an interesting angle. There are also many data visualization tools. For quantitative data, it is better to use graphs, tables, pie charts, thermometers, speedometers, dials, sensors, and much more.

  • Write in black and white

Such a small method is often used by designers when they need to create a presentation quickly. White text on a dark background looks pretty stylish, especially when there is some simple font without sans serifs along with it.

  • Run a spell-check

Don’t forget it, really. It will take literally three seconds. Nobody likes to read texts written with errors. By not paying proper attention to the words spelling, punctuation, the semantics of words in the presentation, you can find yourself in a very unpleasant situation.

Your presentation is the face of your company, the first thing your client and your audience communicate with. And its appearance depends on you. One and the same content can cause absolutely different emotions. This is your costume, in which you appear in front of people. And now absolutely everyone with the help of modern technologies, resources, and practice can make an excellent presentation. Think about it: if you do not pay attention to your presentation, why should your clients spend time on it?
